Personal Information Protection Policy

As a leading convention and art center that provides the highest quality services, Tokyo International Forum Co., Ltd. (hereafter referred to as "the company") fully recognizes the importance of customers' personal information, handling it with care and protecting personal information responsibly as follows.

Management Framework

The company retains the service of a personal information protection administrator, with a manager assigned to each department that handles personal information so that said information is collected and managed in an appropriate manner.

Personal information collection

When personal information is provided to the company from a customer, the purpose of using such information is defined ahead of time which is then announced or notified to the customer.

Restrictions on use of personal information

The company will appropriately manage personal information provided by customers and will not use it for purposes other than what has been agreed upon. If for some reason it becomes necessary to use customer personal information for a purpose other than what has been agreed upon, we will notify the customer of the purpose ahead of time.

Personal information management

In order to prevent unauthorized access to, loss, damage, manipulation or leaking of customer personal information, the company endeavors to sufficiently educate all executives and employees and raise awareness on protecting personal information.

Restrictions on provision of personal information to third parties

Excluding situations where the customer has provided their express consent or in situations allowed by law, personal information provided by customers will not be disclosed or provided to third parties.
However, the company reserves the right to entrust customer personal information to designated company vendors within the scope of valid usage. The company requires that our vendors take strict measures in handling personal information.

Disclosure, correction and deletion of personal information

The personal information of customers handled by the company will be confirmed, corrected, or deleted within reason and when deemed necessary by the customer.

Legal Compliance

The company complies with laws and other norms regarding the handling of personal information, and strives to continue improving the above-mentioned efforts.

Purpose of using personal information obtained from customers

The company uses personal information obtained from customers for the following purposes:

  • For completing various procedures and contacting customers in the use of Tokyo International Forum facilities

  • For statistics and analysis related to services received when using Tokyo International Forum facilities

  • For communicating information on use of Tokyo International Forum facilities and other company activities

  • For requesting cooperation with questionnaires

  • For sending PR magazines, etc.

  • For developing new services and for operations

  • For competitions and promotions

  • For receiving customer inquiries and feedback

Excluding situations where the customer has provided their express consent or in situations allowed by law, personal information provided by customers will not be disclosed or provided to third parties.
However, personal information provided by customers may be entrusted to vendors designated by the company within the scope of legitimate collection purposes after implementing the required protection measures. When doing so, we will strictly monitor and manage the vendor that handles any personal information.

Security cameras have been installed to monitor the interior of Tokyo International Forum facilities under the guidance of relevant government authorities in order to prevent crime and accidents.

Tokyo International Forum photographs for recording to promote the facilities themselves and events held in the facilities. The photographs are used in PR magazines and on the website.
